How to Back Up a Windows or Mac Computer

Keep a recoverable copy of the computer where the work actually happens.

Use a local backup and a separate off-site backup.

Windows and macOS both support built-in or provider-supported backup options, and a direct external drive is often the fastest first recovery copy. Add a separate cloud backup or a rotated off-site drive for events that affect the computer and local drive together.

Set it up safely

  1. Identify the folders, photo catalogs, project files, and device backups that must be protected.
  2. Set a local backup schedule and encrypt the backup if the option is available.
  3. Enable a separate off-site backup with version history.
  4. Keep recovery credentials and encryption keys safely documented.
  5. Restore a few files and periodically test a larger recovery workflow.
Practical warning: do not assume a synced desktop folder includes every local application library or external drive. Check the backup selection and exclusions.
